Oversees and manages the front office and performs all general administrative functions as assigned.
Essential Duties and
Responsibilities:
Responsible for greeting persons entering the institution, determine nature and purpose of visit, and direct or escort them to specific destinations.
Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments.
Schedule appointments and maintain and update appointment calendars.
Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers File and maintain records.
Transmit information or documents to students and/or staff using computer, mail, or facsimile machine.
Analyze data to determine answers to questions from employees or members of the public.
Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
Process and prepare memos, correspondence, or other documents.
Provide information about the college, such as location, employees within the organization, or services provided.
Handle cash and mobile credit card transactions Ensure facilities are always tidy, professional, and presentable Verify visitor sign-in sheet daily Interface and build effective working relationships with all levels of staff, clients, vendors, partners, and guests in a positive, professional manner Other duties as assigned Certifications and Licenses:
High School Diploma required; Bachelor's degree is a plus.
Minimum of 1-2 years administrative experience required Qualifications and Competencies:
Proficient with Microsoft Office suite Ability to utilize a telephone switchboard Ability to type a minimum of 50 WPM Ability to understand new issues quickly and make wise decisions.
Ability to work under pressure, plan personal workload effectively and delegate.
Ability to work independently with minimal input from the Director as well as strong multi-tasking abilities Professional appearance and articulate speaker Bilingual preferred.
